Adjusting Shipment Price
From time to time it may be necessary to change the price charged to a customer for a specific shipment. This section explains what procedures should be followed.
Shipment Billing Background
When a shipment is manifested, a cost transaction is created charging the cost partner for the cost of the shipment. The customer price is calculated and a customer transaction is created in the customer account representing the quoted customer price of the shipment.
These transactions remain un-invoiced until the shipment is reconciled (and the invoice is created).
When the shipment is reconciled, the price may be changed based on updated billing information from the carrier. If such a change is needed, the customer quote will be updated to reflect the new price and breakdown. A corrective transaction will be created to represent the change from the previous price to the new price.
In fact each time a shipment is reconciled and the quote changes, corresponding corrective transactions will be created. At any time, if one sums the initial shipment transaction and the later corrective transactions, the total will represent the current shipment quote.
Manual Transactions
If you wish to add a charge or credit to a shipment separate to the quote price and corrective prices, you need an adjustment. Adjustment transactions are kept separate from the quote price and reconciliation will not affect them.
Example
If you want to add a $10 insurance charge to a shipment before it is reconciled, then modifying the quote to add a line item for $10 will cause a problem. When the shipment is reconciled, this line will be removed and lost. Alternatively, you might flag the shipment to prevent billing until this charge has been added.
A better approach is to create an Adjustment which will not be affected by the reconciliation process and will still only be charged when the shipment is reconciled.
Creating an Adjustment
When viewing a shipment you can create an adjustment using the Cost Adjustment, Reseller Adjustment or Customer Adjustment buttons.
